Alopecia UK

Alopecia UK is a small, yet impactful charity working to improve the lives of people affected by Alopecia. A crucial part of our support model is to bring people affected by alopecia together for peer support, education, fun and more.

Event Management is highly rewarding work that places value on end-to-end project ownership, relationship management, ensuring the needs of the charity and event attendees are met safely, and creating an environment that encourages people to take part in events, sharing and receiving support. As a result of a staff member going on Maternity Leave, Alopecia UK is seeking someone on an interim contract to continue to deliver to our model and there is a huge opportunity to be involved in shaping ideas for the future too.

You’ll enjoy a team environment that is built around a shared vision and clear strategy, where you’ll be empowered to work autonomously through clear guidance and transparent communication. This role requires the incumbent to work in a flexible way, which includes some weekends, in return the charity offers very flexible working options across both days and hours worked and whilst occasionally you will be required to travel, this is a remotely based role.

Primary Purpose of the Role

To improve and increase the support available to those with alopecia through both regional and national in-person events.

You will safely oversee the planning and delivery of some of our pre-agreed diary of events and work independently to plan further additional events. You will be delivering some aspects of these events yourself. You will work closely with our Volunteer Manager to ensure we have the appropriate volunteer support and capacity for each event. You’ll also monitor and evaluate the events and use this information to recommend changes and improvements for future events.

Specific duties include

To run events within agreed budgets (confirmed with the line manager).
Responsible for several in-person national and regional events, to be reviewed at least quarterly with the Line Manager.
Risk assessment, planning, media and comms, ticket sales, budgeting, merchandise, engagement with external exhibitors and speakers, liaising with volunteers, delivery of the event, and so on.
Identify opportunities for sponsorship of the events with external partners and supporters.
Management of enquiries into the events email inbox.
Responsible for the promotion of the range of events via social media and mailing lists.
Monitor and evaluate activities and write reports for funders and trustees.
Working closely with the Volunteer Manager to ensure events have suitable and appropriate volunteer support.

You will bring

Experience of organising and delivering events
Excellent communication and interpersonal skills, written and oral working with a variety of stakeholders in meetings, at events, face-to-face and online.
Experience of working in a people-facing role.
Ability to build and maintain effective working relationships at various levels across our network.
Proven ability to take initiative and responsibility to get things done, individually and as part of a team.
Strong organisation skills and attention to detail.
Ability to plan and manage several simultaneous activities and deal with conflicting priorities to meet targets and changing deadlines.
Being able to remain calm under pressure and manage in a positive and solution‐focused manner.
Strong working knowledge of Microsoft Office, including Word, Outlook, and Excel
Willingness to travel with an overnight stay. Candidates should have a Full UK Driving Licence, and use of a car.
A conscientious approach to work.

The Offer

0.6 FTE 22.5 hours per week. Maternity Leave cover contract up to 52 weeks. Candidates must have evidence of their right to work in the UK.
Home-based, potential for a hybrid agreement for those who prefer to commute to our office in Shipley, West Yorkshire. This role will include weekend work, some national travel, as well as travel to the North of England for team meetings.
£18,540 for 22.5 hours, pro-rated from full time salary of £30,900.
Full time team member entitlement is 25 days holiday plus Bank Holidays, pro-rata for part time employees. Our office closes between Christmas and New Year. Unless agreed in advance you will not be required to work between Christmas and New Year.
