Congress Assistant (30 – 40h)

European Academy of Neurology (EAN), the leading organisation for excellence in neurology in Europe and beyond, is seeking a Congress Assistant to join its team in Vienna.

As a medical society we promote excellence in the practice of general neurology throughout Europe, leading to improved patient care. Job objective

We are looking to hire a Congress Assistant to join EAN’s Congress Department who will support the congress organisation of EAN and work closely together with the Programme Committees. The Congress Department coordinates the organization of the annual EAN Congress. In this position you will support us with our day-to-day correspondence, planning and arrangement of sessions, abstracts and registration tasks.

Main Responsibilities

  • Supporting our congress team with arising administration and organisational tasks.
  • Administration of scientific sessions at EAN Congresses.
  • Administration of daily tasks and overall administration of Congress registrations.
  • Drafting and managing overviews, statistics and letters and coordinate upcoming tasks.
  • Managing email correspondence and database entries.
  • Travelling within Europe 1-2x per year.Minimum Requirements
  • You identify with the non-profit sector, and you are both, team and service oriented.
  • You work independently, are flexible and resilient, and bring a motivated, hands-on approach with a passion for organization.
  • You have previous work experience, preferably in hotel front desk operations, hospitality, or a related field.
  • Ideally, you have completed relevant training (e.g. Matura from HAK/HBLA/HLW/HLT or equivalent).
  • You have excellent verbal, written, and interpersonal communication skills and are a strong team player.
  • You are proficient in Microsoft Office applications, including Outlook, Word, Excel, PowerPoint, and virtual meeting tools (e.g. Zoom).
  • You have very good written and spoken English skills.
  • Additional language skills, especially German, are an advantage.

    Salary (gross): Based on 40 hours: min. EUR 2300.- (gross, 14x per year). Negotiable, depending on experience.
